THE TASK:
27. Congress resolves that the preservation and distribution of the works of
Y.M.Bapak Muhammad Subuh Sumohadiwidjojo in the form of written, recorded and
photographic material is now a priority for the World Subud Association.
28. Congress also resolves that the preservation of archival material concerning
the development of Subud is an appropriate concern of WSA.
29. Congress recognizes that Bapak's works and the other archives provide the
source material for the history of Subud which should be recorded and in due
course published.
PRIORITIES FOR ACTION:
30. Congress resolves that the priorities for action are:
1) Making high quality copies of the very few videos of Bapak's talks. [This
has been done, thanks to Robin and Valerie Drewett of the ISC Tape Distribution
Unit.]
2) Making and distributing at least three copies of all the recordings of Bapak.
[This has been done, thanks to Faisal Sillem and the Drewetts.]
3) The establishment and the development of the archive of Bapak's papers at
present in temporary accommodation in Wisma Subud. This includes: appropriate,
environmentally controlled safe housing, preserving, sorting and indexing, and
copying on microfilm. [With the exception of sorting and indexing (not yet completed
), the rest of the aims have been realized.]
4) Starting to publish Bapak's talks in a series of volumes in Indonesian and
English.
[This is being done by SPI. They are presently working on Volume 6.]
LONG TERM OBJECTIVES:
31. Congress resolves that the long term objectives include the establishment
of 5 International Archive Centres in England, Tokyo, Los Angeles, Sydney, and
Jakarta.
32. Congress requests the National Committees of the host countries to facilitate
the establishment of these centres in consultation with Subud Archives International.
33. Congress agrees to the long-term objectives proposed
by IAFT (International Archives Fundraising Team) which are attached as an appendix.
(see Appendix 3)
RESPONSIBILITY:
34. Congress resolves that the responsibility for the tasks outlined above is
vested by Congress with the International Subud Committee (ISC) as the executive
body of WSA.
NATIONAL ARCHIVE CENTRES:
35. Congress recognizes the value of National Archives and considers them to
be a part of the international archive system.
36. Congress reaffirms the suggestion of earlier Congresses that countries that
have not already done so should set up their own National archive.
OWNERSHIP:
37. Congress resolves that the ownership of both the copyright to Bapak's spoken
and written word and the physical archival material should be vested with WSA.
[ This has been done. WSA's copyright in Bapak's work is registered with the
Canada Copyright Office.]
38. Congress resolves that in the case of the paper and photographic archives
in Indonesia, Yayasan Muhammad Subuh (YSBD), a charitable foundation established
under Indonesian law, is approved as the appropriate body to hold these documents
in trust for WSA. (YSBD is jointly controlled by Congress and Subud Indonesia
which each appoint two members of the Supervisory Board. A fifth member is a
joint appointee.) [YSBD has since been replaced by the Yayasan Muhammad Subuh
or YMS. YMS holds the same powers as its predecessor.]
ORGANIZATION:
39. Congress resolves that ISC should appoint an archives sub-committee to be
called Subud Archives International with a chairman appointed by ISC to coordinate
the work of the various functional units:
YSBD ( Indonesia): Paper and photographic archives in Indonesia. Transcriptions
and translations.
Tape Preservation Unit (Belgium): Tape preservation and multiplication.
ISC Tape Unit (U.K.): Tape distribution, videos, and some film.
History (Indonesia): Assembly of source material, and writing of the
history of Subud.
LIAISON WITH SPI:
40. Congress requires that there should be close consultation between SPI and
YSBD regarding the publication of Bapaks work. This should take place as far
as possible at the operational level.
COORDINATION MEETINGS:
Congress expects that modern telecommunications will be sufficient for coordination
between the various units and the Chairman of SAI. An annual coordinating meeting
will be held only if necessary. Such a meeting should include a representative
of SPI.
APPENDIX 3: (See resolution

OBJECTIVES:
Phase One will be accomplished when each of the five International Archive Centers
has the following:
A complete unedited archival set of all Y.M. Bapaks talks on tape.[Done]
A complete archival set on microfilm of all Y.M. Bapaks talks, writings,
pertinent correspondence, messages to congresses, answers to members questions,
and the other archival material. [Done]
A complete archival set of visual materials, photographs, videotapes
and film of Bapak [Not yet done]
A computerized reference system containing an index of all archival materials,
designed for easy search and retrieval, with interfaces for standard microcomputer
systems. [Not yet done]
Phase Two will be accomplished when every Subud member has access to the following:
A complete edited publication set of all the talks of Y.M. Bapak, in
the original language, with translation/retranslation.
A complete edited publication set of all of Y.M. Bapak's writings, in
the original language, with translations/retranslations as needed.
The History of Subud.
A complete publication set of visual materials, photographs, videotape
and film of Y.M. Bapak.
An electronic edition of the complete set of archival and publication
materials, containing indices, abstracts and full-text versions. This reference
system to be distributed on CD-ROM or other optical media with interfaces for
standard microcomputer systems.
